How we handle your data

What we process through this website, why, and which rights you have.

Who we are

Falcon Tactical Solutions BV is the controller of the personal data you provide through this website. We supply tactical equipment and weapons to government services. This statement explains which data we process through the website, why, for how long, and what your rights are.

Falcon Tactical Solutions BV, Industriepark Noord 11, 8730 Beernem, Belgium. Company and VAT number BE 0452.529.348. Telephone +32 (0)50 79 90 10. Email info@falcon-raptor.com.

Which data we process, why and on what legal basis

We only process the data you enter yourself and what is needed for the website to work. Without the required fields, we cannot handle your request.

Contact and quotes. Through the contact form, we ask for your name, organisation, email address and phone number, the type of organisation, your role, the subject, when you need something and your message. We use this data to answer your request and follow it up. Your request goes to your contact person at Falcon and is recorded in our customer management system. Legal basis: our legitimate interest in answering and following up requests from our customers.

Customer zone: account and login. When you register, we ask for your first name and surname, your service or organisation, the type of organisation, your professional email address, phone number and role. If you also request equipment management, we ask for the name and email address of the manager who confirms it. This lets us check that you work for a professional service. We review every request personally and only then open your account. When you log in, we store the time of your last login. Legal basis: our legitimate interest in opening the customer zone only to professional services and keeping it secure.

Quote requests and lists. In the customer zone, you put together lists of products and request a quote. We store your lists with the products, versions and quantities, and your requests with your reference and comments. Requests for maintenance, repair or equipment management are handled the same way. We use this data to prepare a quote, carry out the request and follow it up. Legal basis: preparing and performing the contract with your organisation, and our legitimate interest in following up requests.

Registrations for training courses and events. If you register participants, we process for each one the first name, surname, email address, phone number, position or rank, and the answers to the practical questions of the course or event. We also store the capacity in which your service acts, your reference or purchase order, your comment and your agreement to the terms. We use this data to manage places and the waiting list, organise the course and issue certificates. Once the registration is confirmed, participants receive an email with a calendar invitation. They do not see each other’s address. If you register colleagues, let them know that you are passing their data to us and refer them to this statement. Legal basis: performing the contract with your organisation, and our legitimate interest in organising the course properly.

B2B portal and order requests. Dealers and licensed firearms dealers request access with their first name and surname, company name, VAT number, email address, phone number, type of company and, for a firearms dealer, the licence number. This lets us check that your company can become a customer and may buy items subject to a licence. In the portal, you see your prices, stock and orders. We retrieve these through a secure link with our accounting and stock software (Microsoft Dynamics 365 Business Central), based on your customer number. We store an order request with the items, quantities, your reference and comment. Your contact person then turns it into an order. Legal basis: performing the contract with your company, and our legal obligations, such as weapons legislation and accounting and VAT rules.

Newsletter. For the newsletter, we ask for your name, position, service or organisation, sector, email address and the topics you choose. You first receive an email to confirm your subscription. You only receive the newsletter after that confirmation. The same applies if you tick the news box in the contact form. We also record your subscription in our customer management system. Legal basis: your consent. You can withdraw it at any time via the link at the bottom of every newsletter, or by emailing info@falcon-raptor.com.

Log and technical data. We keep a log of requests, logins and downloads in the customer zone and the B2B portal. This lets us follow up requests and detect misuse. Our hosting partner processes technical data, such as your IP address, to display and secure the website. Legal basis: our legitimate interest in securing the website and your data.

We do not make decisions based solely on automated processing. We always grant access after a personal review.

Who receives your data

Within Falcon Tactical Solutions, only the staff handling your request see your data, such as your contact person. We also work with the following service providers. They process your data only on our behalf and according to our instructions.

  • Sanity: our back office and database for accounts, requests, registrations and the log.
  • Resend: sends the website’s emails, such as confirmations and login codes.
  • Mailchimp: manages the newsletter and the confirmation of your subscription.
  • Salesforce: our customer management system, where we follow up requests and contacts.
  • Microsoft: our info@falcon-raptor.com mailbox (Microsoft 365) and our accounting and stock software (Business Central).
  • Falcon Tools: our own application for product and registration management, hosted by Railway.
  • Our hosting partner: hosts the website and manages the link with our accounting software.

We never sell or rent out your data. We only share it with a public authority when the law requires us to, for example under weapons legislation or at the request of the courts.

Transfers outside the European Union

Some service providers, such as Mailchimp, Salesforce and Resend, may process data outside the European Union, for example in the United States. This only happens with the appropriate safeguards required by the GDPR, such as the standard contractual clauses of the European Commission. Want to know more about these safeguards? Email info@falcon-raptor.com.

How long we keep your data

  • Contact and quote requests: 2 years after the last contact.
  • Customer zone and B2B portal accounts, with your lists: as long as the account is active, and up to 2 years after your last login.
  • Registrations and participant lists: 5 years, so that we can confirm or reissue certificates.
  • Orders, invoices and other accounting records: 7 years, as required by law.
  • Newsletter: until you unsubscribe.
  • Log: 2 years.

After that, we delete or anonymise the data, unless the law requires us to keep it longer.

Cookies

This website only sets cookies that are strictly necessary. They do not require your consent. We do not use analytics or advertising cookies.

  • falcon_klantzone: keeps you logged in to the customer zone or the B2B portal. It disappears when you close your browser and is valid for 12 hours at most. If you choose “Stay logged in on this device”, it is kept for 14 days.
  • kz_ui: remembers that you are logged in, so that the menu shows the right view. It does not give access by itself and has the same lifetime.

In the B2B portal, your browser keeps your order list on your device until you send it. The list only reaches us when you send the order request.

Security

You log in without a password, using a six-digit code sent to you by email. The code is valid for ten minutes and works only once. We do not store the code itself, only an unreadable check value. Accounts, requests, registrations and the log are protected in our database. Only authorised staff can access them. The connection to the website is encrypted. On every visit, we check that your account is still active.

Your rights

You have the right to:

  • access your data;
  • have inaccurate data corrected;
  • have your data erased;
  • have the processing restricted;
  • receive your data in a common format or have it transferred to someone else;
  • object to processing based on our legitimate interest;
  • withdraw your consent for the newsletter at any time.

To do so, email info@falcon-raptor.com. We reply within one month. We may ask you to confirm your identity. Data we are legally required to keep is only erased after that period.

Complaints

Not satisfied with how we handle your data? Please let us know first. You can also lodge a complaint with the Belgian Data Protection Authority, Rue de la Presse 35, 1000 Brussels: www.dataprotectionauthority.be.

We update this statement when the website or the law changes. The most recent version is always on this page.
